Everything you need to know to get the most out of PianoPlanner

First Steps

Welcome to PianoPlanner! This guide will help you get started quickly. Begin with these essential settings and you'll be ready to book your first appointment within minutes.

Sign up at pianoplanner.com with your email address (confirm it via the link in the email you receive) or with your Google account. You start with a 30-day free trial; no payment details are needed. The exact end date is shown at the top of your dashboard and on the Subscription page.

Recommended Order

1. Business Details → 2. Working Hours → 3. Service Area → 4. Calendar → 5. Email → 6. Booking Link

Take some time to configure everything properly. This saves you work later and ensures that:

  • Travel times are calculated correctly
  • Customers can only book when you're available
  • Emails look professional with your own details
  • Appointments automatically appear in your calendar
Tip

Use the Onboarding Wizard (Settings → Onboarding) to be guided through the most important settings step by step.

Delete Account & Data

You can permanently delete your PianoPlanner account and all associated data at any time. There are two ways to do this.

Delete it yourself (recommended)

Open Settings

Log in to PianoPlanner (app or website) and go to Settings.

Delete account

Scroll to “Delete account”, confirm, and your account and all data are removed immediately.

Cancel or delete: one page

When “Cancel or delete…” appears on the Subscription page or in Settings, it opens one page that shows each choice side by side: what happens to your payment, to your data, and how to undo it. Cancelling keeps your data: you keep access until the end of the paid period, nothing is refunded, and then your data stays read-only in Archive for 30 days. Deleting stops a running subscription immediately and removes your data permanently. A short survey about why you leave is optional.

Signed in with Google or Apple and never set a password? Confirm the deletion by typing the word shown (DELETE in English) instead of a password.

Is your account in Archive? Use “Delete account” on the Archive page.

Request deletion by email

No longer able to sign in? Send an email to support@pianoplanner.com from the email address of your account, with the subject “Delete my account”. We process every request within 30 days.

Delete only your data (keep your account)

Want to erase your data but keep your account? Go to Settings → Start Over. This permanently deletes your customers, pianos, appointments, invoices, service history, workshop projects and mileage records, while your account, settings and subscription stay intact.

Prefer to request it? Email support@pianoplanner.com with the subject “Delete my data”.

What gets deleted

Your account and all associated data are permanently removed: customers, pianos, appointments, invoices, service history, settings and email templates. This cannot be undone.

Data retention

Self-service deletion is immediate. For email requests, data is removed within 30 days. Invoicing records we are legally required to keep (tax administration) may be retained for the statutory period, after which they are deleted too.

Download a backup of your data

In Settings → Account, the "Data Export" card has a "Download Backup" button. You get a JSON file with your customers, pianos, appointments, service history, invoices, projects, settings and more. Photos and attachments are listed but not included as files. While your account is in Archive, you download it from the Archive page.

Change or reset your password

Change your password in Settings → Account, "Password" card. If you signed up with Google, you can set a password there as well. Forgotten your password? Use "Forgot password?" on the login page.

Security

Your login password is stored only as a one-way hash. Passwords and keys for Google and Apple Calendar, your own email server, payment providers and accounting software are stored encrypted with AES-256-GCM. All traffic goes over HTTPS. The data processing agreement is at pianoplanner.com/dpa.html.
