How to set up your Επιχείρηση details?

Your working ώρες determine when Πελάτες can Κράτηση Ραντεβού. The system only shows Ώρα slots within these ώρες.

Days και times

Automatic reminders use the same Πρότυπο as manual Κούρδισμα invitations. You can customize this Πρότυπο via:

When the Πελάτης opens the link:

How does it work?

Rules

• Rescheduling is only possible up to 24 ώρες before the Ραντεβού
• Past Ραντεβού cannot be rescheduled
• The link is unique per Ραντεβού και works only once

When Πελάτες Κράτηση via their personal link, they automatically see smart Ώρα suggestions. The system analyzes your existing Ραντεβού και suggests the most efficient Ώρα slots.

How does it work?

Instead of manually choosing a Ημερομηνία και Ώρα, the Πελάτης sees a list of recommended times. These are calculated based on:

• Existing Ραντεβού - Slots just before or after other Ραντεβού nearby

• Theater ώρες - Separate ώρες για theaters if configured

What does the Πελάτης see?

After selecting a Υπηρεσία, up to 10 optimal Ώρα slots appear, sorted με the best choice first:

• Recommended - The most efficient Ώρα (green badge)
• Alternative - Good options on other days, sorted by Ημερομηνία

Distant Πελάτες

για Πελάτες outside your normal Υπηρεσία area, the system automatically searches further ahead (up to 6 months) to find the best options. Instead of blocking distant Πελάτες, longer travel times result in a slightly lower score - but good options are still shown. The system keeps searching until it finds at least 10 suggestions.

Traffic-aware suggestions

When Traffic Prediction is enabled in your Ρυθμίσεις, smart suggestions take rush ώρα και typical traffic patterns into account.

Each Πελάτης gets a colored badge based on when they were last tuned:

1-Click Optimization

When the system finds optimization opportunities, you'll see suggestions με an "Εφαρμογή" button. Clicking it will:

Have gaps between your Ραντεβού that waste Ώρα? The Streamline button automatically tightens your Πρόγραμμα by recalculating Ραντεβού times based on real travel times.

How does it work?

Understanding the Προεπισκόπηση

The Προεπισκόπηση shows each Ραντεβού με its current Ώρα και the proposed new Ώρα. Ραντεβού that would move are highlighted, και you can see the Σύνολο Ώρα saved at the top of the Προεπισκόπηση.

PianoPlanner can factor in real traffic conditions when calculating travel times. Instead of just using the standard driving Ώρα, the system looks at expected traffic για the specific Ημέρα και Ώρα of each Ραντεβού.

How does it work?

When traffic prediction is enabled, every Χρόνος μετακίνησης calculation considers the expected departure Ώρα. A Δευτέρα morning rush ώρα trip will Εμφάνιση a longer Χρόνος μετακίνησης than the same trip on a quiet Κυριακή afternoon.

In addition to CSV, PianoPlanner also supports the following Εισαγωγή formats:

Visual distinction

Private Ραντεβού appear in purple με a 🔒 icon in your Ημερολόγιο, making them easy to distinguish από Επιχείρηση Ραντεβού.

When synced to Google, Apple, or Microsoft calendars, private Ραντεβού appear as "Busy" χωρίς showing any details, Τοποθεσία, or Περιγραφή. Your Απόρρητο is protected!

• Dashboard — The km-widget in the right panel shows your current month and lets you quickly add trips

Vehicle setup

Odometer readings

Automatic tracking

Smart round-trip calculation

The system automatically determines if a trip is one-way or round-trip:

• Last Ραντεβού of the Ημέρα → Return trip (real km Αρχική via Google Maps)

Manual trips

Smart Pick Ενσωμάτωση

When you use Smart Pick to suggest Ραντεβού times, it automatically avoids your workshop ώρες. This ensures Πελάτες are never offered a Ώρα slot that conflicts με your workshop Πρόγραμμα.

Not every Ραντεβού needs a Πελάτης record. PianoPlanner lets you quickly Δημιουργία walk-in Ραντεβού και internal workshop tasks directly από your Πίνακας ελέγχου.

Walk-in Ραντεβού

When a Πελάτης walks in unexpectedly, use the quick walk-in button on your Πίνακας ελέγχου action sheet. Enter a Όνομα και Υπηρεσία — no need to Δημιουργία a full Πελάτης record first.

Tasks χωρίς Πελάτης

Need to block Ώρα για internal work? Δημιουργία a task χωρίς linking it to a Πελάτης. Perfect για workshop maintenance, administrative work, or personal Ώρα blocks.

The Workshop Έργο Planner helps you Διαχείριση larger workshop jobs — Πιάνο rebuilds, restorations, or any multi-step Έργο. Track tasks, ώρες, deadlines, και link Έργα to Πελάτες και Πιάνα.

Creating a Έργο

Navigate to Έργα in the main menu και click 'New Έργο'. Give it a Τίτλος, optionally link a Πελάτης και Πιάνο, set a priority και deadline, και estimate the Σύνολο ώρες.

Managing tasks

Each Έργο can have multiple tasks. Προσθήκη tasks quickly με the inline input field at the bottom of the task list, or click a task to Επεξεργασία details like estimated/actual ώρες και due dates.

• Click the circle to cycle Κατάσταση: To do → In progress → Done
• Drag tasks by the handle to reorder them

• Set due dates — overdue tasks are highlighted in red

Capacity overview

Excel-style Editing

The task list works like a spreadsheet. Click any cell to Επεξεργασία inline. Changes are saved automatically as you type. Press Enter to move to the Επόμενο row, or Tab to move to the Επόμενο column.

Task Types

• Labor — Work hours billed at your hourly rate (set in Settings → Workshop)
• Material — Parts, strings, felt, etc. Track cost price for profit calculation
• Other — Transport, disposal, rental costs

Cost Overview

The cost overview at the bottom shows real-Ώρα totals για labor, materials, και other costs. Only tasks marked as 'billable' (green checkbox) are included in the quote. Toggle billable off για internal tasks you don't want to charge για.

Before creating your first invoice, configure your invoicing settings. Go to Invoices and click the ⚙️ settings icon in the top bar.

από the Ατζέντα (recommended)

After completing an appointment, create an invoice directly from the agenda. Click on the appointment → choose "Create Invoice". The invoice is automatically prefilled with:

• Ραντεβού Ημερομηνία in the Περιγραφή

Manual Τιμολόγιο

Go to Invoices → New Invoice. Search and select a customer, then add invoice lines manually. You can add regular lines with prices, or text-only lines for additional notes.

Sending Τιμολόγια

Once your invoice is ready, save it as "Sent". You can then email it directly to the customer with a PDF attachment. If you have Mollie configured, a payment link is automatically included.

Open a customer in the PWA, scroll down and tap "Create Invoice". A bottom sheet appears where you can:

Setting up Mollie

PianoPlanner can sync your invoices directly to your accounting software, saving you from manual entry. Go to Settings → Integrations to connect your accounting package.
