How to set up your Poslovanje details?

Your working sati determine when Klijenti can Rezerviraj Termini. The system only shows Vrijeme slots within these sati.

Days i times

What does the Klijent see?

When the Klijent opens the link:

Set default Usluga

You can set a default Usluga per Klijent so it's automatically selected when they open their link.

Klijenti can reschedule their own Termin through a secure link in the confirmation E-pošta. No Telefon call or E-pošta needed — they choose a new Vrijeme od Pametno suggestions i Potvrdi s one click.

How does it work?

Rules

• Rescheduling is only possible up to 24 sati before the Termin
• Past Termini cannot be rescheduled
• The link is unique per Termin i works only once
• Kalendar Sinkroniziraj (Google/Apple/Microsoft) is automatically triggered

When Klijenti Rezerviraj via their personal link, they automatically see Pametno Vrijeme suggestions. The system analyzes your existing Termini i suggests the most efficient Vrijeme slots.

How does it work?

Instead of manually choosing a Datum i Vrijeme, the Klijent sees a list of Preporučeno times. These are calculated based on:

• Existing Termini - Slots just before or after other Termini nearby
• Lokacija - Minimal Vrijeme putovanja between Termini
• Working sati - Only within your Dostupan times

What does the Klijent see?

After selecting a Usluga, up to 10 optimal Vrijeme slots appear, sorted s the best choice first:

Distant Klijenti

Traffic-aware suggestions

When Traffic Prediction is enabled in your Postavke, Pametno suggestions take rush Sub i typical traffic patterns into account.

Got a gap in your Raspored in a specific area? Ruta Fill helps you find nearby Klijenti who are due za a Ugađanje i lets you Pošalji them an invitation in one click.

Each Klijent gets a colored badge based on when they were last tuned:

Understanding the Pregled

When synced to Google, Apple, or Microsoft calendars, private Termini appear as "Busy" bez showing any details, Lokacija, or Opis. Your Privatnost is protected!

Setting up workshop sati

Go to Postavke → Workshop to Konfiguriraj your workshop Dostupnost. You can set different sati za each Dan of the Tjedan, just like your regular working sati.

Pametno Pick Integracija

When you use Pametno Pick to suggest Termin times, it automatically avoids your workshop sati. This ensures Klijenti are never offered a Vrijeme slot that conflicts s your workshop Raspored.

Not every Termin needs a Klijent record. PianoPlanner lets you quickly Kreiraj walk-in Termini i internal workshop tasks directly od your Nadzorna ploča.

Walk-in Termini

When a Klijent walks in unexpectedly, use the quick walk-in button on your Nadzorna ploča action sheet. Enter a Ime i Usluga — no need to Kreiraj a full Klijent record first.

Tasks bez Klijent

Need to block Vrijeme za internal work? Kreiraj a task bez linking it to a Klijent. Perfect za workshop maintenance, administrative work, or personal Vrijeme blocks.

The Workshop Projekt Planner helps you Upravljaj larger workshop jobs — Klavir rebuilds, restorations, or any multi-step Projekt. Track tasks, sati, deadlines, i link Projekti to Klijenti i Klaviri.

Creating a Projekt

Navigate to Projekti in the main menu i click 'New Projekt'. Give it a Naslov, optionally link a Klijent i Klavir, set a Prioritet i deadline, i estimate the Ukupno sati.

Managing tasks

Each Projekt can have multiple tasks. Dodaj tasks quickly s the inline input field at the bottom of the task list, or click a task to Uredi details like estimated/actual sati i due dates.

• Click the circle to cycle Status: To do → In progress → Done
• Drag tasks by the handle to reorder them
• Track estimated vs. actual sati per task
• Set due dates — overdue tasks are highlighted in red

Capacity overview

The capacity bar on the Projekti overview shows how many workshop sati you have used vs. Dostupan this Tjedan. This is based on your workshop sati configured in Postavke → Workshop.

Excel-style Editing

The task list works like a spreadsheet. Click any cell to Uredi inline. Changes are saved automatically as you Tip. Press Enter to move to the Sljedeće row, or Tab to move to the Sljedeće column.

Task Types

• Labor — Work hours billed at your hourly rate (set in Settings → Workshop)
• Material — Parts, strings, felt, etc. Track cost price for profit calculation
• Other — Transport, disposal, rental costs

Cost Overview

The cost overview at the bottom shows real-Vrijeme totals za labor, materials, i other costs. Only tasks marked as 'billable' (green checkbox) are included in the quote. Toggle billable off za internal tasks you don't want to charge za.

Click 'Kopiraj Quote' to Kopiraj a text version to your clipboard (perfect za pasting into emails), or click 'PDF' to open a professionally formatted quote ready za printing or saving as PDF.

Before creating your first invoice, configure your invoicing settings. Go to Invoices and click the ⚙️ settings icon in the top bar.

Račun Numbering

There are two ways to Kreiraj an Račun: od the Agenda or manually.

od the Agenda (Preporučeno)

After completing an appointment, create an invoice directly from the agenda. Click on the appointment → choose "Create Invoice". The invoice is automatically prefilled with:

• Klijent Ime i details
• Usluga Opis s instrument (e.g. "Ugađanje — Steinway & Sons D")
• Termin Datum in the Opis
• Usluga Cijena od your Usluge configuration
• Klijent Bilješke (as a separate text line)

Ručno Račun

Go to Invoices → New Invoice. Search and select a customer, then add invoice lines manually. You can add regular lines with prices, or text-only lines for additional notes.

Sending Računi

Once your invoice is ready, save it as "Sent". You can then email it directly to the customer with a PDF attachment. If you have Mollie configured, a payment link is automatically included.

s PianoPlanner on your homescreen you can Kreiraj i Pošalji Računi directly od your Telefon — even while you're still at the Klijent's Lokacija.

od a Klijent Profil

Open a customer in the PWA, scroll down and tap "Create Invoice". A bottom sheet appears where you can:

• Odaberi a Usluga — the Cijena is automatically filled in
• Dodaj a Opis or Bilješke
• Choose the Račun Status (Skica, Poslano, Plaćeno)
• Pošalji s payment link — the Klijent can pay via iDEAL / Wero immediately

Typical Mobile Workflow

PianoPlanner handles PDV differently depending on the Klijent Tip. This is determined automatically based on the Klijent Tip set in the Klijent Profil.

• Theater — Cijena exclusive PDV

Prihvati iDEAL, credit card, i Wero payments directly on your Računi via Mollie. Klijenti click the payment link in the Račun E-pošta i pay instantly.

Setting up Mollie

PianoPlanner can sync your invoices directly to your accounting software, saving you from manual entry. Go to Settings → Integrations to connect your accounting package.
