PianoPlanner can automatically send tuning reminders to customers when their piano is due for a tuning. You don't have to do anything — the system checks for each piano when the last tuning was, adds the service interval, and sends a reminder at the right time.
What's the difference with manual invitations?

en daarna worden alle klanten automatisch op het juiste moment herinnerd. Inclusief follow-ups als ze niet reageren.
How does it work?
1. Piano has a service interval
Reminders are only sent for pianos that have a service interval set (3, 6, or 12 months). Pianos set to "Customer initiates contact" (interval 0) are skipped.
2. First reminder goes out
For example, a piano has a 6-month service interval and the last tuning was on January 1st. The next tuning is around July 1st. With the default setting (30 days advance), the customer receives the first reminder around June 1st.
3. Follow-up if no response
If the customer doesn't respond, a second reminder is sent automatically after 14 days. After that, a reminder follows every month until the maximum is reached (default 4 reminders per cycle).
4. Cycle stops automatically

Setup — Step by Step
1. Go to Settings
Open Instellingen en scroll naar het kaartje "Automatische Stemherinneringen"
(met het 🔔 bel-icoontje). Klik erop om het open te klappen.
2. Enable the feature
Zet de schakelaar aan bij "Automatische herinneringen inschakelen".
Er verschijnen nu extra opties.
3. Configure the schedule
Adjust the following settings to your preference:

4. Send a test
Klik op "Test versturen" om een voorbeeld-herinnering naar uw eigen e-mailadres te sturen.

met een Steinway B-211.
5. Click Save
Vergeet niet op "Opslaan" te klikken! Vanaf nu worden uw klanten automatisch herinnerd.
Customize Email Template
Automatic reminders use the same template as manual tuning invitations. You can customize this template via:
Via Settings
Klik op "Sjabloon bewerken" bij de stemherinnering-instellingen.
U wordt doorgestuurd naar de Template Editor waar u het "Stembeurt Uitnodiging" sjabloon kunt aanpassen.
Extra variables
In addition to the standard variables, two extra variables are available for automatic reminders:

Customer Unsubscribe
At the bottom of every automatic reminder is an unsubscribe link. When a customer clicks it, a clean page confirms they've been unsubscribed.
In the statistics in settings you can see how many customers have unsubscribed. Want to re-subscribe a customer? Contact the helpdesk.
Dashboard Widget
Once you enable automatic reminders, a widget appears on your dashboard with three numbers: total reminders sent, this month's count, and unsubscribed customers.
Manually Sending from the Queue
On the Tuning Reminders page (the bell icon in the menu) you can open the Queue tab
to see exactly which pianos are about to receive a reminder. Each row has a green
"Send now" button that lets you send the reminder immediately, without waiting for the next
automatic batch.
When is this useful?
• You have a quiet day and want to actively fill your schedule
• A customer asks for a reminder right after a phone call
• You want to test the wording with a real customer before turning the automatic batch on
• You see an overdue piano in the queue and want to nudge that customer first
A confirmation appears with the customer name and piano. After confirming, the email is sent immediately and the row disappears from the queue (or moves to the next reminder number). The send is logged in the same place as the automatic ones, so it counts toward the maximum per cycle, sets the next reminder date, and shows up in the History tab.
The button is disabled (greyed out, with a tooltip) when sending is not allowed:

Requirements
Important to know
Automatische herinneringen worden alleen verstuurd als aan alle voorwaarden is voldaan:
✅ De functie is ingeschakeld in uw instellingen
✅ De piano heeft een steminterval ingesteld (3, 6 of 12 maanden — niet "Neemt zelf contact op")
✅ De piano heeft een bekende datum van laatste stembeurt
✅ De klant heeft een e-mailadres
✅ De klant heeft zich niet uitgeschreven
❌ Piano's zonder steminterval of zonder e-mailadres worden altijd overgeslagen
Tip: Check your customer data
Voordat u de automatische herinneringen inschakelt, controleer of uw klanten een e-mailadres hebben
en of de piano's een steminterval en laatste stembeurt-datum hebben ingevuld.
