How to set up your Podnikanie details?

Go to Settings

Click on Nastavenia in the menu, or go directly to the 'Spoločnosť' tab.

Fill in your details

Spoločnosť Meno, your Meno, E-mail, Telefón a full Adresa. Use Google Maps suggestions pre an exact Adresa.

Upload your logo (optional)

Your logo appears on the Rezervácia page a in emails.

Set your timezone

Make sure your Adresa is correct - it's used pre Čas cesty calculations.

Click Save

Setting Working hodín

Your working hodín determine when Zákazníci can Rezervovať Stretnutia. The system only shows Čas slots within these hodín.

Days a times

Setting Your Služba Area

Your Služba area determines how far you're willing to drive pre Stretnutia. This helps the system make Inteligentný suggestions a prevents bookings that are too far away.

How to set your Služba area?

Go to Settings → Travel Time

Scroll to the "Služba Area" section.

Enable area check

Vybrať how many kilometers you're willing to drive maximum. Default is 50 km.

Set maximum travel time

You can also specify specific postal code areas where you work.

Customize the message (optional)

Click Uložiť. The system now takes your Služba area into account pre bookings a suggestions.

Služby

Služby define what you offer to Zákazníci — such as Ladenie, regulation, or repair. Each Služba has its own Trvanie, Cena, a Kalendár Farba. Zákazníci see these when Rezervácia online.

Setting up Služby

Go to Settings → Services

Here you'll find an overview of Všetko your Služby. Click "Pridať Služba" to Vytvoriť a new one.

Fill in the details

Meno, Trvanie (in minút), Cena, a optionally a Popis that Zákazníci see on the Rezervácia page.

Set buffer times

Pridať buffer Čas before a/or after the Stretnutie. This gives you Čas cesty or preparation Čas between Stretnutia.

Choose a calendar color

Each Služba can have its own Farba. This Farba appears in your PianoPlanner Kalendár a is synced to Google Kalendár. This way you can see at a glance what Typ of Stretnutie you have.

Activate or deactivate

Only Aktívny Služby appear on the Rezervácia page. Deactivate a Služba to temporarily Skryť it bez deleting it.

Kalendár colors

Switch between Deň, Týždeň a Mesiac views. Click on a Čas slot to Vytvoriť a new Stretnutie. Drag Stretnutia to move them. Double-click to Upraviť.

Creating an Stretnutie

Click a time slot or press +

Click on a Čas in the Kalendár, or use the + button in the bottom right.

Select a customer

PianoPlanner shows you how efficient your Rozvrh is s a Farba system. This way you can see at a glance whether your Deň is well planned.

The Farba indicates how efficient the trip is compared to your set limits.

Customize limits

You can adjust the Čas cesty thresholds in Nastavenia → Spoločnosť. Set what 'short', 'medium' a 'long' means pre you.

Adding a Zákazník

Go to Customers

Click "Zákazníci" in the navigation menu to open the Zákazník overview.

Click + New Customer

Fill in Meno, Adresa, E-mail a Telefón. The Adresa is used pre Čas cesty calculations.

Add notes (optional)

Pridať parking instructions, gate codes or special requests. These Poznámky appear when creating Stretnutia.

Click on a Zákazník to see their full Profil. Here you'll find:

Adding a Klavír

Go to Pianos

Click "Klavíre" in the navigation menu, then click "+ New Klavír".

Link to a customer

Fill in piano details

Connecting Google Kalendár

Creating connection

Go to Settings → Calendar

Open the Nastavenia menu a click on "Integrácie" or "Kalendár Synchronizovať".

Click "Connect Google Calendar"

Step-by-step switching

Customize E-mail Šablóny

PianoPlanner automatically sends emails to your Zákazníci pre Stretnutia. You can fully customize these emails s your own text, branding, a logo. There are two editing modes: a simple mode pre plain text a an advanced mode pre HTML formatting.

The Šablóna Editor — Two Modes

Simple Mode (Odporúčané pre beginners)

Typ gewone tekst zoals in een e-mail. Elke nieuwe regel wordt automatisch een alinea. Advanced Mode (pre experienced users)

Write your own HTML code pre full control over the layout. Useful if you are a designer or want to implement a specific design. You see the raw HTML a can use tags directly pre colors, fonts, tables, etc.

Editing Šablóna

1. Open de Template Editor

Tip

Sending Ladenie Invitations

Automatically remind your Zákazníci when their Klavír is due pre Ladenie. This is a powerful way to generate recurring Stretnutia.

When to Odoslať invitations?

The best Čas is 2-4 weeks before the Klavír is due pre Ladenie. This gives the Zákazník Čas to respond a lets you Plán.

How to Odoslať invitations?

1. Go to Customer Detail

In the menu you'll see "Klavíre" - this shows Všetko Klavíre sorted by Služba Stav.

2. Check the Service Interval

Use the Filtrovať to only see Klavíre that are soon or overdue pre Ladenie.

3. Click the ✉️ Button

Check the Klavíre you want to Odoslať an invitation to.

4. Confirm and Send

An E-mail is Odoslané to each selected Zákazník.

Automatický Ladenie Reminders

What's the difference s Ručný invitations?

How does it work?

2. Select the customer

Trasa Fill

Got a gap in your Rozvrh in a specific area? Trasa Fill helps you find nearby Zákazníci who are due pre a Ladenie a lets you Odoslať them an invitation in one click.

How does it work?

1. Open Route Fill

Go to Zákazníci a click the green "Trasa Fill" button in the top right.

2. Enter a location

Typ a Mesto Meno or postal code a choose a Hľadať radius (10-50 km). Click Hľadať.

3. Review results

How does it work?

1. Open Route Analysis

Go to the Prehľad a click the Analyse button in the toolbar.

Traffic Prediction

PianoPlanner can factor in real traffic conditions when calculating travel times. Instead of just using the standard driving Čas, the system looks at expected traffic pre the specific Deň a Čas of each Stretnutie.

How does it work?

When traffic prediction is enabled, every Čas cesty calculation considers the expected departure Čas. A Pondelok morning rush hodina trip will Zobraziť a longer Čas cesty than the same trip on a quiet Nedeľa afternoon.

Toggle Traffic Prediction on. Travel times will now factor in typical traffic patterns pre the Čas of Deň.

Good to know

Traffic predictions are based on Google Maps historical traffic data. They reflect typical conditions pre that Deň a Čas, not live traffic incidents. Čas cesty caches Obnoviť every 2 hodín to stay current.

Theater Dostupnosť

Theaters, concert halls, a other venues often have different Dostupnosť than private Zákazníci. They're mainly Dostupný evenings a weekends - exactly when you're normally off! s Theater Dostupnosť you can set separate working hodín pre these special Zákazníci.

Why Theater hodín?

The problem: Theaters have rehearsals a performances during the Deň. They can only let you in before opening (mornings) or after closing (evenings). The solution: Set different hodín pre theater Zákazníci. They only see evening/weekend slots. Private Zákazníci only see daytime slots. Everyone books at the right Čas!

Theaters often need to Rezervovať on short notice - a Klavír might need Ladenie before tonight's concert! You can set how far ahead theaters must/can Rezervovať:

Review the suggested order

Apply with one click

Setting the Right Ladenie Interval

Different Klavíre need different care. A concert grand in a theater needs Ladenie every few months, while a hobby Klavír at Domov might only need yearly Služba. You set the Interval per Klavír!

Step-by-Step: Changing a Klavír's Interval

1. Go to the piano

Open Zákazníci → click on a Zákazník → click on their Klavír

2. Click Edit

Click the Upraviť button (pencil icon ✏️)

3. Find "Service interval"

Look pre the dropdown that says "Služba Interval (months)"

4. Choose the interval

Vybrať how many months between tunings: 3, 4, 6, 9, 12, 18, or 24 months

5. Save

Export from your current system

Go to Import

Select what to import

Upload the CSV file

Drag a drop your file or click to browse. The system will automatically detect the columns.

Preview and configure

Vehicle setup

Open Travel Report

Click "Travel Správa" in the navigation menu (car icon).

Set the date range

Workshop Projekt Planner

Creating a Projekt

Excel-style Editing

Faktúra Setup

Before creating your first invoice, configure your invoicing settings. Go to Invoices and click the ⚙️ settings icon in the top bar.

Faktúra Numbering

Prefix

Set a prefix pre your Faktúra numbers (e.g. "F2026-", "INV-"). Your Faktúry will be numbered as prefix + sequence number, e.g. F2026-001, F2026-002, etc.

Set the Ďalší Faktúra number. Useful when switching od another system mid-Rok — just enter the number where you left off. The counter auto-increments s each new Faktúra.

Bank Details

Enter your IBAN, bank Meno, a BIC code. These appear on your Faktúry so Zákazníci know where to pay.

Footer Text

Pridať your chamber of commerce number, DPH number, or any other Právne informácie text that should appear at the bottom of every Faktúra.

Tip

Creating Faktúry

There are two ways to Vytvoriť an Faktúra: od the Program or manually.

After completing an appointment, create an invoice directly from the agenda. Click on the appointment → choose "Create Invoice". The invoice is automatically prefilled with:

Ručný Faktúra

Go to Invoices → New Invoice. Search and select a customer, then add invoice lines manually. You can add regular lines with prices, or text-only lines for additional notes.

Sending Faktúry

Once your invoice is ready, save it as "Sent". You can then email it directly to the customer with a PDF attachment. If you have Mollie configured, a payment link is automatically included.

Tip

You can use 'Služba Šablóny' in Faktúra Nastavenia to quickly Pridať frequently used Služby to any Faktúra.

Invoicing on Mobile

s PianoPlanner on your homescreen you can Vytvoriť a Odoslať Faktúry directly od your Telefón — even while you're still at the Zákazník's Umiestnenie.

Open a customer in the PWA, scroll down and tap "Create Invoice". A bottom sheet appears where you can:

Tip

The Klavír tuner is still at the Zákazník's Domov a the Faktúra is už Odoslané — s a payment link. No bookkeeping software needed, no Ručný work at the end of the Deň.

DPH Handling

PianoPlanner handles DPH differently depending on the Zákazník Typ. This is determined automatically based on the Zákazník Typ set in the Zákazník Profil.

Private Zákazníci

Cena = INCLUSIVE DPH

For private customers, the service price is the total amount they pay, inclusive of VAT. Example: your service costs €125. The invoice shows:
Subtotal: €103.31 — VAT 21%: €21.69 — Total: €125.00

Podnikanie / Institutions

Cena = EXCLUSIVE DPH

For businesses, schools, churches, and theaters, the service price is exclusive of VAT. VAT is added on top. Example: your service costs €125 excl. The invoice shows:
Subtotal: €125.00 — VAT 21%: €26.25 — Total: €151.25

Setting the Zákazník Typ

To ensure correct DPH handling, set the Zákazník Typ in each Zákazník Profil:

Private — Cena inclusive DPH
Podnikanie — Cena exclusive DPH
School — Cena exclusive DPH
Church — Cena exclusive DPH
Theater — Cena exclusive DPH

Tip

The default Zákazník Typ is 'Private'. If you don't set a Typ, the Cena will be treated as inclusive DPH. You can always manually adjust the Cena on the Faktúra if needed.

Online Payments (Mollie)

Prijať iDEAL, credit card, a Wero payments directly on your Faktúry via Mollie. Zákazníci click the payment link in the Faktúra E-mail a pay instantly.

Setting up Mollie

Create a Mollie account

Go to mollie.com a Vytvoriť a Zadarmo account. Dokončiť the verification process (identity check a bank account).

Get your API key

In your Mollie Prehľad, go to Developers → API Keys. Kopírovať your Live API key.

Connect in PianoPlanner

Go to Nastavenia → Integrácie → Mollie. Paste your API key a click Pripojiť. PianoPlanner will verify the connection.

Send invoices with payment link

Tip

Mollie charges no monthly fees — you only pay per transaction (e.g., €0.29 per iDEAL payment). The Faktúra Stav is automatically updated when the Zákazník pays.

PianoPlanner can sync your invoices directly to your accounting software, saving you from manual entry. Go to Settings → Integrations to connect your accounting package.

Moneybird (Netherlands/Belgium)

Moneybird is a popular Dutch online Účtovníctvo package. PianoPlanner connects via the Moneybird API pre Automatický Faktúra synchronization.

Get API Token

Log in to your Jortt account and go to Settings → API. Create a new API client to get your Client ID and Client Secret.

Gather Your Odoo Details

You need four things: your Odoo URL (e.g. https://mycompany.odoo.com), your database name, your username (email), and an API key. Generate an API key in Odoo via Settings → Users → API Keys.

Go to Settings → Integrations, find the Odoo card, fill in all four fields, and click Connect. PianoPlanner will verify your credentials immediately.

Once connected, use the Sync button to push invoices to Odoo. Each invoice creates a customer invoice (account.move) in Odoo, and missing contacts are automatically created.
