First Steps

Negocio Details

Your Negocio details appear in Correo electrónico confirmations y on your Reserva page. Fill these in correctly so Clientes know exactly who you son.

Important

How to set up your Negocio details?

Go to Configuración

Click on Configuración in el menu, or go directly to el 'Empresa' tab.

Fill in your details

Empresa Nombre, your Nombre, Correo electrónico, Teléfono y full Dirección. Use Google Maps suggestions para an exact Dirección.

Subir your logo (Opcional)

Your logo appears on el Reserva page y in emails.

Verify your Dirección

Make sure your Dirección is correct - it's used para Tiempo de viaje calculations.

Guardar

Click Guardar to store your details.

Setting Working horas

Your working horas determine when Clientes can Reservar Citas. el system only shows Hora slots within these horas.

Days y times

Seleccionar el days you work y set el Iniciar y end Hora para each Día.

Option 1: Fixed times every Día

Hora de inicio: cita o salida

Se aplica a enlaces de reserva online

Se aplica a tu enlace publico de reserva y a enlaces personales de clientes. Las citas existentes mas tarde en el dia siguen usando el control normal de tiempo de viaje entre citas.

Setting buffers

Buffers Ayuda you keep Hora between Citas y prevent Clientes de Reserva too last-minuto.

Setting Your Servicio Area

Your Servicio area determines how far you're willing to drive para Citas. This helps el system make Inteligente suggestions y prevents bookings that son too far away.

How to set your Servicio area?

Go to Configuración → Empresa

Scroll to el "Servicio Area" section.

Choose your maximum Distancia

Seleccionar how many kilometers you're willing to drive maximum. Default is 50 km.

Opcional: Set postal code areas

You can also specify specific postal code areas where you work.

4. Guardar

Click Guardar. el system now takes your Servicio area into account para bookings y suggestions.

Extra option

You can also exclude specific postal code areas if you don't want to serve certain regions.

Servicios

Servicios define what you offer to Clientes — such as Afinación, regulation, or repair. Each Servicio has its own Duración, Precio, y Calendario Color. Clientes see these when Reserva online.

Setting up Servicios

Go to Configuración → Servicios

Here you'll find an overview of Todo your Servicios. Click "Añadir Servicio" to Crear a new one.

Fill in el details

Nombre, Duración (in minutos), Precio, y optionally a Descripción that Clientes see on el Reserva page.

Set buffer times

Añadir buffer Hora before y/or after el Cita. This gives you Tiempo de viaje or preparation Hora between Citas.

Choose a Calendario Color

Each Servicio can have its own Color. This Color appears in your PianoPlanner Calendario y is synced to Google Calendario. This way you can see at a glance what Tipo of Cita you have.

Activate or deactivate

Only Activo Servicios appear on el Reserva page. Deactivate a Servicio to temporarily Ocultar it sin deleting it.

Calendario colors

Servicio colors Ayuda you visually distinguish between Cita types in your Calendario. Choose de preset colors like blue, green, red, purple, etc. el Color is also used when syncing con Google Calendario.

Tip

Crear different Servicios para different durations. para example: "Piano Afinación" (90 min), "Grand Piano Afinación" (120 min), y "Quick check" (45 min). This way Clientes always Reservar el right Importe of Hora.

Panel & Calendario

el Panel is your central workspace. Here you find your Calendario, daily overview, quick actions y useful widgets — everything you need para a productive workday.

AI Help

Use the AI Help button in the sidebar to ask help questions or aggregate data questions, such as totals, counts and averages.

Privacy rules

For data questions, AI Help only works with aggregate numbers. It never sends or shows names, email addresses, phone numbers, full addresses, cities, notes, customer IDs, invoice numbers, piano serial numbers or other personal data.

Allowed: counts, totals, averages and other numeric summaries.
Blocked: names, contact details, addresses, notes, invoice numbers and raw customer records.
Open invoices are calculated from the real invoice statuses: sent, confirmed and overdue.

Panel layout

Your Panel is divided into three columns: a left panel con quick overviews, el Calendario in el center, y a right panel con statistics y widgets.

Switch between Día, Semana y Mes views. Click on a Hora slot to Crear a new Cita. Drag Citas to move them. Double-click to Editar.

Creating an Cita

Click a Hora slot or press +

Click on a Hora in el Calendario, or use el + button in el bottom right.

Seleccionar a Cliente

Buscar para an existing Cliente or Crear a new one on-el-fly.

Choose Ubicación Tipo

Seleccionar 'At Cliente' para on-site visits or 'Workshop' para in-house work.

Pick a Piano (Opcional)

Inteligente Pick highlights Pianos that son due para maintenance con a yellow glow. Click to Seleccionar.

Set Hora & Duración, then Guardar

Adjust el Hora y Duración if needed. Click Guardar — el Cita appears in your Calendario.

Inteligente Pick

Pianos highlighted con a yellow glow son Recomendado by Inteligente Pick. It considers el Afinación Intervalo, last Servicio Fecha y season to suggest which Pianos need attention.

Tip

Use Semana Ver para planning efficiency y Día Ver para detailed scheduling. el Calendario remembers your preferred Ver.

Completar citas

Después de visitar a un cliente, marque la cita como completada. Esto actualiza automáticamente el historial de afinación del piano.

El widget "Por procesar"

El panel izquierdo muestra una lista "Por procesar" con citas que ya pasaron pero que aún no se han marcado como completadas. Use los botones de filtro (7d, 30d, 90d, Todo) para ver más atrás en el tiempo.

Important

Understanding Ruta Efficiency

PianoPlanner shows you how efficient your Horario is con a Color system. This way you can see at a glance whether your Día is well planned.

How is Tiempo de viaje calculated?

Automático calculation

When creating an Cita, PianoPlanner automatically calculates Tiempo de viaje de your previous Ubicación.

Color coding

el Color indicates how efficient el trip is compared to your set limits.

Customize limits

You can adjust el Tiempo de viaje thresholds in Configuración → Empresa. Set what 'short', 'medium' y 'long' means para you.

Cliente Management

Keep Todo your Cliente data in one place. Añadir Clientes, link their Pianos, track Servicio history y Enviar professional emails — Todo de a single overview.

Adding a Cliente

Go to Clientes

Click "Clientes" in el navigation menu to open el Cliente overview.

Click + New Cliente

Fill in Nombre, Dirección, Correo electrónico y Teléfono. el Dirección is used para Tiempo de viaje calculations.

Añadir Notas (Opcional)

Añadir parking instructions, gate codes or special requests. These Notas appear when creating Citas.

Click on a Cliente to see their full Perfil. Here you'll find:

Buscar & Filtrar

Use el Buscar bar to quickly find Clientes by Nombre, Correo electrónico, Ciudad or Teléfono number. el list updates as you Tipo.

Tip

You can also Añadir new Clientes directly when creating an Cita. Just Tipo el Nombre in el Cliente field y click '+ Crear new Cliente'.

Detección de duplicados

PianoPlanner detecta automáticamente posibles duplicados en tu base de datos de clientes basándose en nombre, correo electrónico, teléfono y dirección. Utiliza coincidencia difusa (algoritmo de Levenshtein), por lo que incluso los pequeños errores tipográficos son detectados.

Abrir Duplicados

Ve a Clientes y haz clic en el botón "Duplicados" para ver todos los pares de duplicados detectados.

Revisar coincidencias

Tip

Piano Management

Track every Piano you Servicio. Record Marca, Modelo, Número de serie, Año y Estado. Link Pianos to Clientes y keep a Completar Servicio history.

Adding a Piano

Go to Pianos

Click "Pianos" in el navigation menu, then click "+ New Piano".

Link to a Cliente

Seleccionar el Cliente who owns this Piano. el Piano appears on their detail page.

Fill in Piano details

Marca, Modelo, Número de serie, Año of manufacture, Tipo (grand/upright/digital) y Ubicación in el house.

Choose how often this Piano should be tuned: every 3, 6 or 12 months, or 0 if el Cliente initiates Contacto.

Pianoscope files

Tuning with the Pianoscope app on iPhone or iPad? Store the inharmonicity measurement of every piano directly in PianoPlanner. On your next visit, your measurement is one tap away — no more digging through iCloud Drive or email.

How it works

Tune with Pianoscope

Pianoscope calculates a unique inharmonicity "fingerprint" for the instrument. This fingerprint is valid for the entire lifetime of the piano.

Export from Pianoscope

Tap the share icon → "Save to Files" (iCloud Drive recommended).

Upload in PianoPlanner

Open the piano in PianoPlanner (PWA on your phone works best). Tap "+ Pianoscope file" in the Tuning data section, choose the file from Files / iCloud Drive.

Done

The file is now permanently linked to the piano and is shown with the Pianoscope logo.

Reusing the measurement

Open the piano

Open the piano detail in the PianoPlanner PWA.

Tap the file

iOS automatically opens the share sheet → choose "Open in Pianoscope".

Continue tuning

Pianoscope opens with your original measurement loaded — continue tuning immediately.

Why this is useful

The fingerprint stays valid for the lifetime of the piano — measure once, always continue quickly.
No more loss after a phone change or crash — stored safely with PianoPlanner.
Per customer overview: see at a glance which pianos already have a Pianoscope measurement.
Maximum 5 files per piano (versioning) — keep the latest measurement on top.

Connecting Google Calendario

Sincronizar PianoPlanner con your Google Calendario para two-way Sincronizar. Citas appear in both calendars y updates son automatically synchronized.

Creating connection

1. Go to Configuración → Integraciones

2. Click "Conectar Google Calendario"

Connecting Microsoft 365

Apple requires an app-specific Contraseña para third-party app access. This is an extra security layer.

Creating an app-specific Contraseña

1. Go to Apple ID

Open appleid.apple.com y Iniciar sesión con your Apple ID.

2. Go to Security

3. Generate Contraseña

Click 'Generate Contraseña' y give it a Nombre (e.g. 'PianoPlanner').

Connecting in PianoPlanner

1. Copiar your Calendario feed URL

Go to Configuración → Integraciones y Copiar el iCal feed URL.

2. Open Apple Calendario

3. Paste el URL

Paste el copied feed URL in el URL field.

5. Subscribe

Click Subscribe or OK. Your Citas now appear in Apple Calendario!

Switch Calendario Provider

Want to switch de Google Calendario to Apple Calendario (or vice versa)? You can do this sin losing any Citas. This is also relevant if you want to move away de US cloud Servicios y have more control over your data.

No data loss

Todo Citas son always safely stored in PianoPlanner. Calendario Sincronizar is just a Copiar to your Calendario app. If you Detener a Sincronizar, Todo Citas remain — both in PianoPlanner y in your old Calendario.

Step-by-step switching

1. Check your Citas

Go to your Calendario in PianoPlanner y verify Todo your Citas son there. Todo data is stored centrally — el Calendario Sincronizar is just a Copiar.

2. Desconectar your current Calendario

Go to Configuración → Calendario y click 'Desconectar' para your current provider (e.g. Google). Your Citas in PianoPlanner y your old Calendario will remain intact.

3. Crear an app-specific Contraseña (Apple)

Go to appleid.apple.com → Sign-In y Security → App-Specific Passwords. Crear a new Contraseña named 'PianoPlanner'.

4. Conectar Apple Calendario

Go to Configuración → Calendario → Apple. Enter your Apple ID Correo electrónico y el app-specific Contraseña. Choose el right Calendario.

5. Synchronize

PianoPlanner automatically sends Todo existing Citas (up to 1 Año Atrás y 1 Año ahead) to your new Apple Calendario. No Manual transfer needed.

Tip: Clean up old Calendario

After switching, your Citas still exist in your old Calendario (e.g. Google). You can Salir them as an archive, or manually Eliminar them later. They will no longer be synchronized.

Your Afinación Citas in your own trusted Calendario

Would you like your Afinación Citas to automatically appear in el Calendario you ya use on your Teléfono or computer (such as Samsung, Google, or Outlook)? That's easy — just Conectar el calendars.

How does it work?

You Copiar a special 'digital key' (a link). You paste this once into your own Calendario app. After that, Todo your Citas Sincronizar automatically.

Step 1: Copiar el link

Go to Configuración → Integraciones. There you'll find a button to Copiar el Calendario link. Click it — el link is now saved to your clipboard.

Step 2: Paste el link in your Calendario

Open your own Calendario app y look para el option to Añadir a Calendario.

Instructions per app

Samsung / Google: Go to 'Añadir Calendario' (preferably on your computer) y choose 'de URL'.

SMTP Configuration

1. Gather your SMTP details

Customize Correo electrónico Plantillas

PianoPlanner automatically sends emails to your Clientes para Citas. You can fully customize these emails con your own text, branding, y logo. There son two editing modes: a simple mode para plain text y an advanced mode para HTML formatting.

Cancellation Mail When You Delete an Appointment

When you delete a future appointment from the dashboard, the customer is automatically notified by email. The setting Settings → Email → Send cancellation emails controls this and is on by default.

Per-deletion opt-out

In the delete confirmation modal you see a checkbox Notify the customer. It is checked by default for future customer appointments. Uncheck it for a single deletion when you do not want a mail to go out (for example after you already called the customer).

When no cancellation mail is sent

The appointment is in the past
The appointment is private or all-day
The customer has no email address on file
You unchecked the notify checkbox in the delete modal
You disabled cancellation mails in Settings → Email

Email Bounces — Detection and Reset

When an email cannot be delivered (wrong address, mailbox full, domain blocks PianoPlanner) the bounce is captured and the email address is blocked from receiving further mail. This protects your sender reputation.

Where do you see bounces?

A red banner appears on the customer detail page above the bounced email address
A widget on the dashboard shows how many customers have a bounced email address
The email log under Settings → Email shows the status "Bounced" or "Soft bounce" per attempt

How to reset a bounce

Open the customer, check or correct the email address, then click Mark checked on the red banner. The block is lifted and you can send mail to that address again.

el Plantilla Editor — Two Modes

Simple Mode (Recomendado para beginners)

Typ gewone tekst zoals in een e-mail. Elke nieuwe regel wordt automatisch een alinea. Editing Plantilla

1. Open el Plantilla Editor

Sending Afinación Invitations

Automatically remind your Clientes when their Piano is due para Afinación. This is a powerful way to generate recurring Citas.

When to Enviar invitations?

How to Enviar invitations?

1. Go to Pianos

Automático Afinación Reminders

PianoPlanner can automatically Enviar Afinación reminders to Clientes when their Piano is due para a Afinación. You don't have to do anything — el system checks para each Piano when el last Afinación fue, adds el Servicio Intervalo, y sends a Recordatorio at el right Hora.

How does it work?

1. Piano has a Servicio Intervalo

Reminders son only Enviado para Pianos that have a Servicio Intervalo set (3, 6, or 12 months). Pianos set to "Cliente initiates Contacto" (Intervalo 0) son skipped.

Setup — Step by Step

1. Go to Configuración

Customize Correo electrónico Plantilla

Automático reminders use el same Plantilla as Manual Afinación invitations. You can customize this Plantilla via:

Extra variables

In addition to el standard variables, two extra variables son Disponible para Automático reminders:

Cliente Unsubscribe

At el bottom of every Automático Recordatorio is an unsubscribe link. When a Cliente clicks it, a clean page confirms they've been unsubscribed.

In el statistics in Configuración you can see how many Clientes have unsubscribed. Want to re-subscribe a Cliente? Contacto el helpdesk.

Panel Widget

Once you Activar Automático reminders, a widget appears on your Panel con three numbers: Total reminders Enviado, this Mes's count, y unsubscribed Clientes.

Envío manual desde la cola

On the Tuning Reminders page (the bell icon in the menu) you can open the Queue tab to see exactly which pianos are about to receive a reminder. Each row has a green "Send now" button that lets you send the reminder immediately, without waiting for the next automatic batch.

• A customer asks for a reminder right after a phone call
• You want to test the wording with a real customer before turning the automatic batch on
• You see an overdue piano in the queue and want to nudge that customer first

Sharing Your Reserva Link

Every PianoPlanner user has a unique Reserva link. Compartir this con potential Clientes so they can Reservar an Cita themselves.

Why a Reserva link?

Visitas al taller o showroom

Si los clientes pueden venir a tu taller, sala de exposición, tienda o dirección de empresa, crea primero un servicio, por ejemplo "Visita al taller" o "Visita a la sala de exposición", con su propia duración y descripción. Después activa las visitas al taller en Configuración -> Reservas online y selecciona ese servicio en "Mostrar este servicio en la página de reservas del taller". PianoPlanner muestra una URL separada /workshop/tu-slug. Si seleccionas allí un servicio, queda reservado para el enlace de taller/showroom y ya no aparece en el enlace público normal de reservas. En segundo plano, Smart Suggestions revisa tu agenda. Si configuras horas de taller, esas horas se usan como ventana de disponibilidad para este enlace separado; si no, usa tu disponibilidad semanal normal.

Como configurarlo

Ve a Configuracion -> Datos de empresa y comprueba que la direccion del taller o de la empresa este completada.
Ve a Configuracion -> Servicios y crea un servicio como "Visita al taller" o "Visita al showroom", con la duracion y la descripcion correctas.
Ve a Configuracion -> Reservas online y activa tu enlace normal de reservas si aun no esta activo.
Activa "Permitir que los clientes reserven una visita al taller". Después elige el servicio en "Mostrar este servicio en la página de reservas del taller". El enlace separado de taller/showroom aparece debajo de tu enlace normal de reservas.
Copia o previsualiza el enlace de taller/showroom y ponlo en tu web, en emails o en un codigo QR. Usa el enlace normal de reservas para servicios en la ubicación del cliente.

Usa el enlace normal de reservas para citas en la ubicacion del cliente.
Usa el enlace de taller/showroom cuando los clientes deban venir a tu direccion. Si seleccionaste un servicio para ese enlace, esta pagina muestra solo ese servicio y lo oculta del enlace normal de reservas.
PianoPlanner usa tu dirección de taller, o tu dirección de empresa si no hay una dirección de taller configurada. Los enlaces normales de reserva evitan las horas de taller si las configuras; el enlace de taller/sala de exposición usa esas horas, o vuelve a la disponibilidad semanal normal si no hay horas de taller activas.

Confirmaciones despues de reservar

Gestión de leads

Cuando un cliente potencial inicia el proceso de reserva pero no lo completa, sus datos de contacto se guardan como lead. Así nunca pierdes un cliente potencial, incluso si abandonan a mitad del proceso.

Gestionar tus leads

Ve a Leads en el menú lateral (bajo Planificación). Aquí verás todos tus leads con opciones de filtrado.

1. Filtrar por estado

Usa las pestañas de filtro en la parte superior para ver leads por estado: Todos, Nuevo, Contactado, Convertido o Descartado.

2. Buscar leads

Usa la barra de búsqueda para encontrar rápidamente un lead por nombre, email, teléfono o ubicación.

3. Actualizar estado

Cambia el estado de un lead usando el menú desplegable en cada tarjeta. Por ejemplo, marca como "Contactado" después de llamar.

4. Eliminar leads

Enviar un correo de seguimiento

Convert a Lead to a Customer

Spoke to a lead and they want to schedule? Convert them to a real customer record with one click — no need to retype name, email, address or phone.

1. Open the leads page

Go to Leads in the sidebar and find the lead you spoke to.

2. Click the green Convert button

Click the green user-plus icon next to the lead. Confirm the action in the dialog.

3. The customer is created

A customer record is created with the lead's details. If a customer with the same email already exists, that customer is linked instead — no duplicate is created. The lead status changes to "Converted".

Tip

After converting you can immediately add a piano and book an appointment for the new customer.

Practical example

You can set a default Servicio per Cliente so it's automatically selected when they open their link.

Reminder mails reset automatically on reschedule

When an appointment is moved (by you, by drag-drop, or by the customer via the reschedule link) the reminder flags are cleared. The customer receives a fresh 24/48-hour reminder for the new date and time — no manual action needed.

Inteligente Reserva Suggestions

When Clientes Reservar via their personal link, they automatically see Inteligente Hora suggestions. el system analyzes your existing Citas y suggests el most efficient Hora slots.

How does it work?

Instead of manually choosing a Fecha y Hora, el Cliente sees a list of Recomendado times. These son calculated based on:

Existing Citas - Slots just before or after other Citas nearby
Ubicación - Minimal Tiempo de viaje between Citas
Working horas - Only within your Disponible times

What does el Cliente see?

After selecting a service, up to 10 optimal time slots appear, sorted with the best choice first:

Distant customers

For customers outside your normal service area, the system automatically searches further ahead (up to 6 months) to find the best options. Instead of blocking distant customers, longer travel times result in a slightly lower score - but good options are still shown. The system keeps searching until it finds at least 10 suggestions.

Route Fill

Got a gap in your schedule in a specific area? Route Fill helps you find nearby customers who are due for a tuning and lets you send them an invitation in one click.

How does it work?

1. Open Route Fill

Go to Customers and click the green "Route Fill" button in the top right.

2. Enter a location

Type a city name or postal code and choose a search radius (10-50 km). Click Search.

3. Review results

You'll see a list of customers sorted by urgency. Each customer shows their distance, last tuning date, and an urgency badge.

4. Select & send

Select the customers you want to invite, then click "Send invitations". They'll receive a tuning invitation email with your booking link.

Urgency badges

Each customer gets a colored badge based on when they were last tuned:

🔴 Overdue — Past the service interval
🟠 Due — Within one month of the interval
🟡 Soon — Within three months of the interval
🟢 On schedule — Not yet due

Have gaps between your appointments that waste time? The Streamline button automatically tightens your schedule by recalculating appointment times based on real travel times.

Streamline Day is included in Solo and Pro subscriptions. It uses real-time travel calculations via Google Maps.

How does it work?

1. Open Route Analysis

Go to the Dashboard and click the Analyse button in the toolbar.

2. Click Streamline

In the day analysis view, click the Streamline button. The system calculates real travel times between all appointments.

3. Preview changes

A preview shows the current vs. proposed schedule. You can see exactly how each appointment would shift, including the time saved.

4. Apply or dismiss

Click Apply to update all appointment times, or close the preview to keep your current schedule.

What does Streamline calculate?

Real travel time from your company address to the first appointment
Real travel time between each consecutive appointment
Your configured buffer time is added after each travel time
The first appointment starts at your working hours start + travel time

Understanding the preview

The preview shows each appointment with its current time and the proposed new time. Appointments that would move are highlighted, and you can see the total time saved at the top of the preview.

Good to know

Streamline only adjusts appointments that are not yet confirmed by the customer. Private appointments and blocked time slots are kept in place. Always review the preview before applying.

Theater Disponibilidad

Theaters, concert halls, y other venues often have different Disponibilidad than private Clientes. They're mainly Disponible evenings y weekends - exactly when you're normally off! con Theater Disponibilidad you can set separate working horas para these special Clientes.

Step-by-Step: Setting Up Theater horas

1. Go to Configuración → Empresa

Click el gear icon ⚙️ y scroll to find "Empresa Configuración"

Scroll down past your normal working horas. You'll see a separate section para theaters.

3. Turn it ON

Click el switch to Activar theater horas. It turns green.

Setting el Right Afinación Intervalo

Different Pianos need different care. A concert grand in a theater needs Afinación every few months, while a hobby Piano at Inicio might only need yearly Servicio. You set el Intervalo per Piano!

3-4 months: Concert grands, conservatory Pianos, music schools 6 months: Churches, professional musicians, serious hobbyists (default) 12 months: Inicio Pianos, occasional players 18-24 months: Rarely used Pianos, vacation homes

Step-by-Step: Changing a Piano's Intervalo

1. Go to el Piano

Open Clientes → click on a Cliente → click on their Piano

2. Click Editar

El asistente Gazelle es una guía paso a paso diseñada para usuarios de Gazelle. Exporta tus datos desde Gazelle como archivos CSV y súbelos al asistente. PianoPlanner mapea automáticamente los campos — clientes, pianos e historial se importan de una vez.

Importar contactos

Importa clientes desde tus contactos del teléfono o un archivo vCard (.vcf). También puedes subir un CSV con datos de clientes. Nombres, direcciones, teléfonos y emails se importan automáticamente.

Días bloqueados y Vacaciones

¿De vacaciones o necesitas un día libre? Bloquea días en tu calendario para que los clientes no puedan reservar. Los días bloqueados también se excluyen de las Sugerencias Inteligentes.

Private Citas

Receive instant push notifications when a Cliente books an Cita online. Works on desktop y mobile (when el PWA is installed).

Activar notifications

Go to Configuración → Notifications y Activar push notifications. Your browser will ask para permission — click "Allow".

Test

Click "Enviar test Notificación" to check if it works. You should see a Notificación within a few segundos.

Tip

Workshop Planning

Creating a Proyecto

UBL / e-Facturación

PianoPlanner puede generar facturas UBL 2.1 XML legibles por máquina junto con tus PDF. Estas e-facturas cumplen con los estándares europeos y se adjuntan automáticamente al enviar facturas por email.

Cómo funciona

Ve a Facturas → Configuración y busca el interruptor UBL. Cuando está activado, cada email de factura incluye automáticamente un adjunto UBL XML junto al PDF.

Factura Setup

Before creating your first invoice, configure your invoicing settings. Go to Invoices and click the ⚙️ settings icon in the top bar.

Factura Numbering

Prefix

Set a prefix para your Factura numbers (e.g. "F2026-", "INV-"). Your Facturas será numbered as prefix + sequence number, e.g. F2026-001, F2026-002, etc.

Bank Details

Tip

You can also Subir your own letterhead (JPG/PNG) so your Facturas match your corporate identity. If your letterhead ya contains your Empresa details, check "Ocultar Empresa info on Factura".

Creating Facturas

There son two ways to Crear an Factura: de el Agenda or manually.

de el Agenda (Recomendado)

After completing an appointment, create an invoice directly from the agenda. Click on the appointment → choose "Create Invoice". The invoice is automatically prefilled with:

Manual Factura

Go to Invoices → New Invoice. Search and select a customer, then add invoice lines manually. You can add regular lines with prices, or text-only lines for additional notes.

Sending Facturas

Once your invoice is ready, save it as "Sent". You can then email it directly to the customer with a PDF attachment. If you have Mollie configured, a payment link is automatically included.

Tip

You can use 'Servicio Plantillas' in Factura Configuración to quickly Añadir frequently used Servicios to any Factura.

Mileage on Invoices

PianoPlanner can calculate the real one-way distance from your company address to the customer address and add it as a travel charge on the invoice. This customer billing rate is separate from the fiscal mileage rate used for internal mileage tracking.

Set your customer travel rate

Open invoice settings

Go to Invoices, click the settings icon, and find the section "Mileage on invoices".

Enable travel charges

Turn on "Allow travel and mileage charge lines". Choose kilometer or mile, set the price you charge the customer, and choose the VAT rate for the travel line.

Optional: add pricing rules

You can add a fixed call-out fee, a minimum start fee, or a free first distance. Example: first 10 km free, then 0.45 per km plus 10.00 fixed call-out fee.

Add the line to an invoice

When you create or edit an invoice for a customer, click "Add mileage". PianoPlanner uses the appointment's stored company-to-customer distance when available, or calculates it from your company address to the customer address. The result is added as one clear invoice line with the total amount.

Customer-specific rates

Some customers may have a different travel agreement. Open the customer profile, edit the billing section, and enable a customer-specific travel charge. That rate overrides the default invoice settings for that customer only.

Fiscal rate vs customer price

The mileage price on invoices is the amount you charge the customer. It does not use the fiscal mileage rate from mileage tracking. Keep those two values separate: one is for invoicing, the other is for administration and tax reporting.

Tip

Use a fixed fee or minimum fee when you want short local visits to still cover travel time, parking, or setup costs. Use a free first distance when travel is included up to a certain radius.

IVA Handling

PianoPlanner handles IVA differently depending on el Cliente Tipo. This is determined automatically based on el Cliente Tipo set in el Cliente Perfil.

Private Clientes

Precio = INCLUSIVE IVA

For private customers, the service price is the total amount they pay, inclusive of VAT. Example: your service costs €125. The invoice shows:
Subtotal: €103.31 — VAT 21%: €21.69 — Total: €125.00

Negocio / Institutions

Precio = EXCLUSIVE IVA

For businesses, schools, churches, and theaters, the service price is exclusive of VAT. VAT is added on top. Example: your service costs €125 excl. The invoice shows:
Subtotal: €125.00 — VAT 21%: €26.25 — Total: €151.25

Setting el Cliente Tipo

To ensure correct IVA handling, set el Cliente Tipo in each Cliente Perfil:

Private — Precio inclusive IVA
Negocio — Precio exclusive IVA
School — Precio exclusive IVA
Church — Precio exclusive IVA
Theater — Precio exclusive IVA

Tip

el default Cliente Tipo is 'Private'. If you don't set a Tipo, el Precio será treated as inclusive IVA. You can always manually adjust el Precio on el Factura if needed.

Pagos en línea (Mollie)

Acepta pagos con tarjeta de crédito y otros métodos de pago directamente en tus facturas a través de Mollie. Los clientes hacen clic en el enlace de pago en el correo de la factura y pagan al instante.

Ve a mollie.com y crea una cuenta gratuita. Completa el proceso de verificación (verificación de identidad y cuenta bancaria).

En tu panel de Mollie, ve a Desarrolladores → Claves API. Copia tu clave API Live.

Conectar en PianoPlanner

Ve a Configuración → Integraciones → Mollie. Pega tu clave API y haz clic en Conectar. PianoPlanner verificará la conexión.

Enviar facturas con enlace de pago

Cuando envías una factura por correo electrónico, se añade automáticamente un enlace de pago. Los clientes pueden pagar directamente con tarjeta de crédito u otros métodos de pago.

Tip

Mollie no cobra cuotas mensuales — solo pagas por transacción (por ej. 0,29 € por transacción). El estado de la factura se actualiza automáticamente cuando el cliente paga.

Enlace de reserva en facturas

Incluya un enlace de reserva personal en sus correos de facturación para que los clientes puedan programar inmediatamente su próxima afinación. El enlace utiliza el token de reserva único de cada cliente y sugiere automáticamente el periodo correcto según el intervalo de afinación del piano.

¿Por qué usarlo?

Cómo funciona

1. Activar el toggle

2. Enviar una factura

Al enviar una factura por correo, aparece un botón oscuro "Programar su próxima cita" debajo del botón de pago. Cada cliente recibe su propio enlace personal.

3. El cliente hace clic en el enlace

El enlace abre la página de reserva personal del cliente. Si el piano tiene un intervalo de afinación (ej. 6 meses), el calendario se abre automáticamente en el mes sugerido. Las Sugerencias Inteligentes muestran los mejores horarios disponibles. El cliente también puede elegir una fecha anterior.

Cálculo inteligente de fecha

La fecha de inicio sugerida se calcula automáticamente: última fecha de afinación + intervalo. Si un cliente tiene varios pianos, PianoPlanner elige la próxima fecha de afinación más cercana. Ejemplo: un piano afinado el 9 de abril con intervalo de 6 meses sugiere el 9 de octubre.

Tip

Los clientes con intervalo 0 ("el cliente inicia contacto") no verán enlace de reserva. Asegúrese de que sus pianos tengan un intervalo de afinación y fecha de última afinación configurados.

Tip

PianoPlanner can sync your invoices directly to your accounting software, saving you from manual entry. Go to Settings → Integrations to connect your accounting package.

Moneybird (Netherlands/Belgium)

Moneybird is a popular Dutch online Contabilidad package. PianoPlanner connects via el Moneybird API para Automático Factura synchronization.

Get API Token

Jortt (Netherlands)

Jortt is a popular Dutch Contabilidad package designed para freelancers y small businesses. PianoPlanner connects via OAuth2 para secure, Automático Factura syncing.

Get API Credentials

Log in to your Jortt account and go to Settings → API. Create a new API client to get your Client ID and Client Secret.

Conectar in PianoPlanner

Navigate to Settings → Integrations, find the Jortt card, enter your Client ID and Client Secret, then click Connect.

Configurar Sincronizar Configuración

Choose whether to Sincronizar Facturas automatically when created, or manually via el Sincronizar button. You can also Activar Automático syncing when an Factura is marked as Enviado.

Odoo (International)

Odoo is an international open-source ERP system con a powerful Contabilidad module. PianoPlanner connects via Odoo's JSON-RPC API.

Important

Odoo API access requires a Custom or Enterprise Plan. el Gratis Odoo Online Plan does not include external API access.

Gather Your Odoo Details

You need four things: your Odoo URL (e.g. https://mycompany.odoo.com), your database name, your username (email), and an API key. Generate an API key in Odoo via Settings → Users → API Keys.

Conectar in PianoPlanner

Go to Settings → Integrations, find the Odoo card, fill in all four fields, and click Connect. PianoPlanner will verify your credentials immediately.

Sincronizar Facturas

Once connected, use the Sync button to push invoices to Odoo. Each invoice creates a customer invoice (account.move) in Odoo, and missing contacts are automatically created.

Sincronizar Log

Every Sincronizar action is logged. You can Ver el Sincronizar history in el Integración Configuración to see which Facturas han sido Enviado exitosamente y which ones encountered errors. This helps you quickly spot y resolve any issues.

Gestionar suscripción

Ir a Facturación

Haga clic en su icono de perfil → Facturación, o vaya directamente a la página de facturación.
