PianoPlanner is operated by Edward Meijer (trading as Edan Creative). We place great value on protecting your personal data and the data of your customers. In this policy we explain how we collect, use and protect data.

1. What data do we collect?

We process data in two categories:

A. Data about you as a user (Subscriber):

• Name, email address and company details at registration.
• Payment details (processed by our payment partners: Stripe for subscriptions and Mollie for one-off invoices).
• Usage statistics and IP address for security and system improvement.

B. Data about your customers (entered by you):

• Names, addresses and contact details of your customers.
• Instrument details (make, type, serial number, maintenance history).
• Appointment details and notes.

2. Purpose of data processing

We process this data exclusively to:

• provide the functionality of PianoPlanner (scheduling, customer management, sync).
• handle invoicing and administration.
• provide customer support.
• safeguard the security and integrity of the platform.

3. Sharing data and Synchronization

3.1. External Calendar Services: If you activate two-way synchronization, appointment data is exchanged with external parties such as Google (Google Calendar), Apple (iCloud) or Microsoft (Outlook). We have no control over the privacy policies of these third parties.

3.2. Processors: We use trusted sub-processors for hosting (cloud infrastructure), email delivery and payments. Data processing agreements compliant with the GDPR have been concluded with these parties.

3.3. No selling: We will never sell or rent your data or your customers' data to third parties for marketing purposes.

3.4. Map, address and travel time services: To calculate travel times and distances, convert addresses into locations, complete addresses when booking and display maps, we use Google Maps Platform. We only pass on address and location data, such as appointment locations and starting addresses, and no names, email addresses or phone numbers. Maps in the app are loaded by your browser directly from Google. Google acts as an independent controller under the Google Maps Controller-Controller Data Protection Terms. Transfers outside the European Economic Area are covered by the European Commission's standard contractual clauses.

4. Security and Storage

4.1. Security: We take appropriate technical and organizational measures to protect data against loss or unlawful processing, including SSL encryption and secured databases.

4.2. Local storage (PWA): When using the Progressive Web App, certain data may be stored locally on your device to enable offline use and fast synchronization. You are responsible for the physical security of your devices.

5. Retention period

We retain your data as long as your account is active. After your trial or paid subscription ends, your account remains available in read-only mode for 30 calendar days for viewing, export, and reactivation. After that, the operational account data becomes eligible for controlled deletion, subject to statutory retention obligations.

6. Your rights

Under the GDPR, you have the following rights regarding your personal data:

• Right of access, rectification or erasure.
• Right to data portability (exporting your data).
• Right to object to certain processing.
